UTILITY BOARD AWARDS BID FOR IN-HOUSE DOCUMENT MANAGEMENT SYSTEM

01/11/2007 ~ The Utility Board awarded the contract for an In-House Document Management System to Harris Computer Systems for a total estimated cost of $106,112.75 at their regular meeting on Wednesday, January 10th.

Since March 1995, Keys Energy Services (KEYS) has been under contract with Lason, Inc. to scan and retain customer service documents and provide access to such documents via the Internet. KEYS average cost for this service was $29,000 annually; however, KEYS staff determined that document management should be handled internally to assure quality and efficiency.

“Bringing the Document Management System in-house will allow KEYS greater control over the quality of our records in addition to cutting costs in the long-term,” said Lynne Tejeda, KEYS General Manager & CEO.

The In-House Document Management System was competitively bid through the sealed bidding process in order to obtain the best pricing. Harris Computer Systems was the lowest bidder and was also willing to place this project on a monthly payment plan allowing KEYS to pay through the structuring of the project. If KEYS is not satisfied, only actual costs to date will be incurred, however, if KEYS is satisfied with the system all monthly fees paid to date will apply to the purchase price of the application.

The regular meeting of the Utility Board took place at 5:00 p.m., January 10th, in the Louis Carbonell Board Room of the William Arnold Service Building, 1001 James Street, Key West.
